The agency Monday without exports: what the reporting week looks like when the tables land themselves

Monday, 08:40, at a performance agency with many clients across many markets. The head of reporting, Sofia, has a coffee and a question from a client in her inbox. What she does not have is a download folder full of CSVs. This is a week in her team, before and after the tables started landing themselves, with the honest part at the end: what still needs a person.

The Monday that used to happen

The old Monday started with exports. A Google Ads report per client, a Meta export per account, a GA4 exploration for each site, saved with a date in the filename and dropped into the template somebody built in 2023. Then the VLOOKUPs: campaign names matched against the client's naming sheet, spend matched against the plan, currency converted by hand for the markets that do not bill in euros.

By 11:00 the Acme Outdoor sheet said 41,200 for last week's spend and the platform said 41,650, because Friday had been restated over the weekend and the export was taken before the restatement. The client noticed first. Half the afternoon went on the reconciliation, the deck went out at 17:30, and Tuesday was for the clients who did not get done on Monday. Nobody analysed anything until Wednesday, and by then the week was half gone.

The Monday now

The tables landed at 06:00. One export per client, set up by prompting months ago, delivered campaign-level data from every account the client has into the agency warehouse and into a tab of the client's own spreadsheet. The run reads the last few days again each morning and updates the rows already there, so the Friday restatement is simply in the table. At 06:20 the run email arrived: every account came through. Last Monday it listed one account the client had unshared by mistake; the client fixed it and Retry ran just that account.

By 07:00 the client dashboards had refreshed on their own cadence, each stamped with when its numbers were last updated. The clients open theirs with a link. No Upbuild account, no platform login, no seat to chase.

At 08:05 an alert reached the media team in Microsoft Teams: Acme UK, Search Generic, had spent 84% of its monthly budget on the 12th and at this pace would run out on the 14th. The rule was written months ago in one sentence and is checked every time the data refreshes. The media lead moved budget across from a campaign that was underspending, before the client had opened a laptop. Upbuild flagged it; a person moved the money.

The question in Sofia's inbox is from Acme's marketing director: why did cost per acquisition go up in Germany last week? She opens AI Insights and asks:

"Compare Germany's CPA by campaign, last week against the week before, Google Ads and Meta, and show what changed."

The answer comes back as a table and a chart: brand search was paused for two days while a landing page moved, generic search carried the spend, and the blended figure rose. She checks the two paused days against the platform, adds the chart to the client's dashboard in one prompt so it keeps refreshing with the rest, and sends a three-line reply. It is 09:50.

What the team does with the time

The Monday reconciliation used to take the team most of the day across the client list. Now it is a look at the run email and the dashboard stamps, and the time goes elsewhere. The weekly client notes are written by people who have read the numbers instead of assembling them. The quarterly reviews start from the warehouse tables rather than from a rebuilt spreadsheet. A new client is onboarded on the day the contract is signed, with a prompt rather than a project: "every morning at 06:00, all Northwind accounts, campaign level, into their warehouse, load the last two years first". And the naming rule everyone kept breaking is now an alert that posts the offending campaigns in Slack each morning, with the name each one should have.

Two smaller things change too. The spreadsheet and the dashboard stop disagreeing, because they come from the same accounts on the same morning. And when someone leaves, their exports and dashboards stay, because they belong to the agency and not to the person's login.

What still needs a person

Here is the honest part. Judgement is not automated. The chat can show that Germany's CPA rose because brand search was paused; whether that was a mistake, a fair trade for the landing page move or a reason to change the plan is Sofia's call, and the client is paying for that call.

The client conversation is not automated either. A dashboard link and a Teams alert do not replace the person who explains that the overspend in the UK was deliberate, or that the CPA rise in Germany will reverse next week. Numbers travel on their own now; the story still needs a narrator.

And a number still gets checked before it goes out. The run email says which accounts came through, the dashboard says when it last refreshed, and when a figure looks wrong the team still opens the platform and looks. Frequently asked questions

Does this replace the agency reporting team?

No. It removes the exports, the VLOOKUPs and the reconciliation. Judgement, the client conversation and checking a number before it goes out still need a person, and every decision that touches a client's money is still made by people, because Upbuild reads accounts and never changes them.

How does a client get their numbers?

From the same accounts, three ways: a tab in their own spreadsheet delivered by a scheduled export, a dashboard opened with a link that needs no account and no platform login, and a table in their warehouse if they have one. All three refresh on a schedule, so nobody sends a Monday file.

What happens when a platform restates last week?

The daily export reads recent days again and updates the rows already in the table instead of adding them twice. The dashboards refresh from the platforms on their own cadence. The spreadsheet, the dashboard and the warehouse all show the restated figure, without anyone re-exporting.

Who moved the budget when the alert fired?
